Many polo organisations still manage their operations through messages, calls, and spreadsheets. Polo HQ replaces that with a structured system where managers can organise players, track horse records, monitor availability, prepare practices, generate balanced chukkers, assign horses when needed, and export a clear practice sheet before the session.
The chukker generator creates balanced chukkers using the players added to a practice. It considers player handicap, preferences such as early or late chukkers, and how many chukkers each player requested. The system prioritizes balanced teams and practical sessions while still allowing the manager to adjust the results manually.
Yes. Clubs can give players access as player users so they can sign themselves up for practices. Players can see available sessions, select the ones they want to attend, and indicate how many chukkers they would like to play. The manager then sees this information directly inside the practice workspace.
Yes. Player availability can be tracked across the platform. Managers can mark players unavailable or tentative for specific dates, and that information is automatically reflected when preparing practices and generating chukkers.
If a player needs horses, the club can assign horses directly inside the practice. Horses can be allocated chukker by chukker so managers know exactly which horse is being used during the session.
Yes. Horse profiles allow clubs and teams to store horse information, health logs, training sessions, documents, appointments, and notes. Horses can also be grouped, tagged, and organised to support day to day horse management.
Yes. Polo HQ records completed practices and provides operational insights such as the number of practices completed, total chukkers played, average chukkers per practice, unique players involved, and player participation over time.
Managers can also see charts showing weekly activity and a participation leaderboard with information such as total chukkers played, number of practices attended, average participation, and the last practice each player played.
Yes. Practices can be exported as a clean PDF that includes the chukker lineup, horse allocation when needed, and the player chukker matrix. These practice sheets can be printed or shared with players and staff before the practice.
Yes. The platform supports bulk imports using CSV templates and allows managers to organise players and horses using tags, groups, filters, and saved views so large organisations can keep their data structured.
Yes. The calendar provides a visual overview of practices, events, and player availability. Managers can create events, customize labels and colors, and view availability signals directly on the calendar to understand scheduling conflicts quickly.
Yes. Managers always keep full control of the practice. After generating chukkers they can move players, reorder chukkers, remove chukkers, or adjust the entire session manually if needed.
No. Club members only see the information relevant to them. They can check their availability and sign up for practices but they cannot modify operational data or system settings.
Yes. Polo HQ can be used by clubs, teams, or individual players who manage their own organisation. Players can keep track of their horses, practices, and operational information while club members simply participate in practices through the sign up system.
No. Club members can access their participation area directly through the platform. They can view practices and update their availability without needing access to the full system.
Polo HQ is currently onboarding early clubs and teams. Access is being rolled out gradually while the platform continues expanding with new modules.
